Case Management Menu and Profile bar access permissions

In this article, we will explain how to restrict access permissions to the items in the menu and profile bar.

Synergy Case Management uses team-based permissions. People assigned to a team or teams will inherit the access rights associated with that team. A member of a team may also be a member of other teams if required, in which case they will have the access permissions of both.

The Menu and Profile Bar Access permissions control which buttons on the ribbon and within the Person Profile that team members can access.

  1. In the Teams panel, click the required Team to view the Team Details.​

  2. In the Permissions panel, click the Menu and Profile Bar Access tab.​

  3. For each Permission, select the check box to enable the permission or clear the check box to remove the permission.​

    • To enable access to all items, select the Access Allowed check box. This is not recommended for normal end-user teams.​

  4. Click Save when complete.

DeleteFamilyGroup

Admin, Delete Family Group button.
When viewing a Family Group, the Delete Family Group menu item can be clicked on the Actions menu.
Access to the Family Group Desktop must also be enabled.

DeletePerson

Admin, Delete Person
When viewing a Person record, the Delete Person menu item can be clicked on the Actions menu.

ApplicationsChildrensCentreMaintenance

Admin, Family Centres Maintenance.
Enables access to the Family Centres menu item from the Desktop menu.

Integration Search

Admin, Integration Search.
Enables access to the Integration Search desktop to allow searching of linked and unlinked records across Case Management and Synergy Education.

LinkToCore

Admin, Link to Core.
When viewing a Person record the Link to Synergy Education menu item is accessible from the Actions menu.
This functionality requires you to have integration to the Synergy database.

ApplicationsPanelDesigner

Admin, Live Panel Designer.
Enables access to the Live Panel Designer where non-mandatory fields within system wide panels can be hidden.

LockFamilyGroup

Admin, Lock/Unlock Family Group button.
When viewing a Family Group, the Lock Family Group menu item can be clicked on the Actions menu.
Access to the Family Group Desktop must be enabled.

LockPersonButton

Admin Lock/Unlock Person button
When viewing a person record the Lock Person menu item can be clicked on the Actions menu.

ManageExceptionAddressesButtonKey

Admin, Manage Exception Addresses button.
Enables access to the Exception Addresses menu item in the Admin menu and allows the addition of addresses that are not contained within the LLPG, NLPG, or AddressBase dataset.

ApplicationsOrganisationMaintenance

Admin, Organisation Maintenance.
Enables access to the Organisation management pages where new Organisations can be added.

PromoteToCourtButton

Admin, Promote to Court button.
When viewing an Organisation, the Promote to Court option can be selected from the Organisation menu. This allows an Organisation to be marked as a court.

PromoteToSchoolButton

Admin, Promote to School button.
When viewing an Organisation, the Promote to School option can be selected from the Organisation menu. This allows an Organisation to be marked as a school.

RestrictMaintenance

Admin, Restrict Case button.
When viewing a person record, the Restrict Access option can be selected from the Actions menu.
A Restricted record will be visible in searches but cannot be opened for viewing by specified Teams.

ShieldMaintenance

Admin, Shield Case button.
When viewing a person record, the Shield Access option can be selected from the Actions menu.
Shielding a record will hide the record from specified Teams.

ViewLicences

Admin, View Licences.
Enables the View Licences item in the Admin menu.

ExportToExcel

Advanced Search, Export To Excel.
Enables the Export Results button when viewing the results of an Advanced Person Search.
Quick Search must be enabled to use this functionality.

CAF, New CAF button.
The Create a New CAF button will be visible when viewing a closed CAF from the CAF Access Search.
Also requires access to the CAF desktop and My CAF Access.

Enables the Reviewer and Contributor buttons for selection.
Also requires access to the CAF desktop and My CAF Access.

Desktop, CAF Access.
Enables access to the CAF Access Desktop from the Desktop menu.
Access to Desktop, CAF Access, My CAF Access must also be enabled.

DesktopCAFAccess_MyCAFAccess

Desktop, CAF Access, My CAF Access.
Enables access to the My CAF Access to view CAF records the user is involved with and the CAF Access Requests menu items where CAF Coordinators and Lead Professionals can manage, review and action CAF Access requests.
Desktop, CAF Access must also be enabled.

DesktopCAFAccess_Search

Desktop, CAF Access Search.
Enables the Search menu item within the CAF Desktop to search referred or current cases enabling users to see if a CAF already exists for a child and if there is any social work involvement.

DesktopCAFMonitoring

Desktop, CAF Monitoring.
Enables the CAF Monitoring Search panel to search CAF referrals and view CAF Recommendations.
Access to Desktop, CAF Access, My CAF Access must also be enabled.

DesktopCAFSecurity

Desktop, CAF Security.
Enables the CAF Security Search menu item.
Must have at least Read access to the CAF Security Search panel to view search results.

DesktopCAFSecurity_CAFCoordinators

Desktop, Security, Manage Groups.
Enables CAF Security Coordinators and Reviewer Override menu items.
The Coordinators menu item allows users to add coordinator access to every CAF on the system to specified users; coordinators can then manage the security against each CAF.
The Reviewer Override menu item allows the user to add reviewer access for users to every CAF on the system without having to request access to read a CAF. Reviewers are not able to manage CAF security.
Access to Desktop, CAF Access, My CAF Access must also be enabled.
Panel Access must also be enabled for Manage Groups, CAF Coordinators and Manage Groups, CAF Reviewer Override.

DesktopCAFSecurity_AccessRequests

Desktop, CAF Security > Manage Requests.
Enables the β€˜To Me’ CAF Access Requests menu item, allowing users to action CAF Access Requests sent to them.
Access to Desktop, CAF Access, My CAF Access must also be enabled.

DesktopToDo

Desktop, Caseworker To Do List.
Enables basic access to the Work Tray. Applying this permission enables users to select the Work Tray from the Desktop Menu.
This will then give access to My List By Date Due, My Recently Completed Items, Incomplete Actions and My Cases.

DesktopDashboard

Desktop, Dashboard (graphs).
The Dashboard (graphs) desktop displays a pre-defined selection of graphs and charts providing a visualisation of selected data.

DesktopSessionScheduler

Desktop, Family Centre Session Schedule enables users to view the Family Centre sessions calendar.

DesktopFamilyGroupSearch

Desktop, Family Group.
Gives access to the Family Group Desktop accessible from the Desktop menu.

Forms Desktop

Desktop, Forms Desktop.
Gives access to the Forms Desktop accessible from the Desktop menu.

Desktop, FWi Integration.
Customer Specific. When enabled FWi Integration is accessible from the Desktop menu.

When enabled, the Manager Desktop is accessible from the Desktop menu.

Enables the My Family Centres in the Desktop menu.

MyTasksForOthers

Desktop, My Tasks For Others desktop.
Enables the My Tasks For Others menu item in the Work Tray.

Enables access to the Family Centre Activity booking within the Work Tray to view pending session bookings from Synergy Web.

Enables access to Family Centre Registration within the Work Tray to view pending Family Centre Applications from Synergy Web.

DesktopSamOnlineForms

Desktop, SAM Online Forms.
Enables access to SAM Online Forms within the Work Tray to view, approve or reject forms submitted via Synergy Web by schools.
This permission also requires access to the Desktop, Caseworker, To Do List.
Synergy Integration must also be enabled.

Desktop, Screening.
Enables access to the Actions, Complete button when completing a Contact record.

Desktop, SEN Desktop
Enables Access to the SEN Desktop.

DesktopTeamCaseworker

Desktop, Team Caseworker.
Enables access to the Team Case List in the Work Tray. Access to the Work Tray via Desktop, Caseworker To Do List is also required.

Enables the Team To Do list in the Work Tray.

Allows users to add a Form from the Event Menu.

Allows users to add a Case Note from the Event menu.

This permission also allows users to email Family Centre Session Participants.

Event, Family Centre Outcome permissions may also be required within the Panel Access tab.

Allows users to record a Visit from the Event menu.

Event, Managers Decision.
Allows users to record a Managers Decision from the Event menu.

The Create New Family Group button is available from the Family Group Desktop.
When enabled, the create Family Group button is also available when editing a Family Group in the Family Maintenance pages from the default person profile.

Family Search, Create button (Family search).
Enables users to create a new person record when performing a Person Search, or by selecting Create Person from the Actions menu.
It also enables the Add button within the Family Maintenance pages allowing users to create new person records or search for existing family group members.

AdvancedSearch

General, Advanced Search.
Allows users to access the Advanced Person Search

General, Attach file button.
Allows users to Attach Files from the Event menu.

AuthoriseButton

General, Authorise button.
When enabled, Authorise is accessible from the Actions menu within the Authorisation desktop.

Enables users to cancel a Form by selecting Cancel from the Actions menu.

Enables users to delete uploaded files by selecting the Delete File button from the Actions menu.

Enables users to select Duplicate Records from the Admin menu to view duplicate records with Case Management.

OverrideEventDetails

General, Override Event Details.
When enabled, the Override Event Details option is accessible from the Actions Menu when viewing Completed Events or Forms. Start Date, Completion Date, Completer, Authorisation Date, Authoriser can be overridden.

QuickSearch

General, Quick Search.
Enables the Quick Search field on the Ribbon and Enables the Person Search and Advanced Person Search options from the overflow menu.

ReAssignEDRMSCategory

General, Reassign EDRMS Category button.
Enables users to change the Running Record Category of a file attachment by selecting Re-assign Category from the Actions menu.

ReAssignForm

General, Re-assign Form button.
Enables users to reassign an uncompleted or unauthorised form to a different user from the Running Record or To Do list by selecting Re-assign form from the Actions menu.

RecentHistory

General, Recent History.
Enables users to access the ten most recently accessed records.

Rejectbutton

General, Reject button.
Enables users to reject a form awaiting authorisation by selecting Reject from the Actions menu when viewing the Authorisation desktop.

General, Save Running Record Entry to File Store.
Enables users to select Save To File Store from the Actions menu to save a Running Record entry to the file store.

FormUnlock

General, Unlock Form.
When enabled, users can unlock locked forms within a running Record by selecting Unlock from the Actions menu.

General, Unmark as Significant.
When enabled, users can remove the Significant flag from a Running Record entry by selecting Remove Significant Mark from the Actions menu.

AcivityMailMergeLetter

Mail Merge (EISi).
When enabled, users can create a mail merge letter by selecting Letter from the Event menu.

Enables access to all available tabs within the multi-select Person Controls.
If disabled, users will only have access to predefined searches and lists.

Enables access to the Not Active item within the SEN Desktop. Access to the SEN Desktop is required.

SENReportViewChildFragment

SEN, Report, View Child Fragment.
When enabled this permission allows the child XML to be viewed within the SEN desktop following the running of the SEN2 Child Level Return. Access to the SEN Desktop must also be enabled.

SEN, Report Section.
Enables access to the Census Report item within the SEN Desktop.

SENReportEditDate

SEN, Report Section, Edit Date.
Enables users to change the Census date. Access to SEN, Report Section and SEN Desktop must also be enabled.

SEN, Report Section, Edit Params.
Enables access to the Edit button
and allows the report parameters to be altered within the SEN Desktop.
Access to SEN, Report Section and SEN Desktop must also be enabled.

SENReviewsSection

SEN, Reviews section.
Enables access to the Reviews item within the SEN Desktop. Access to the SEN Desktop is required.

ApplicationsProfileBuilder

Setup, Profile Builder.
Enables users to add new team specific profile views of person and organisation records by selecting Profile Builder from the Admin menu.

Setup, Template Manager.
Enables users to create and maintain templates by selecting Template Manager from the Admin menu.
