The information below on how the Duplicates Manager is a tool used within the System Manager module, located within the Administration suite of the Synergy Client. It is primarily used to search and filter through duplicate child records, merging and transferring data from the duplicate to reduce duplication of child records and their data.
First of all, navigate to the Duplicates Manager by going into the following:
Open up the Synergy Client.
Go into System Manager, then Duplicates Manager.
From here, you have several tools available to you.
Search parameters
Search Parameters are used for searching and filtering through the system for any possible child record duplications. Commonly, Postcode and Date of Birth are used as these criteria are a little more specific. The checkboxes are also widely used.
When running a search, do not use the Search button; use the Perform Search button instead. You can use the Clear Search to clear the options selected or filled in to start a new search.
Merge specific child refs
If you are already aware of a particular duplicate record and have the child refs for both, you can use the Merge Specific Child Refs area.
You enter the information as follows:
Enter the child you'd like to keep in the Master Child Ref area.
Enter the duplicate child record in the Source Child Ref section.
Click Resolve Duplicates.
On the right, it displays the names, the date of birth, and other information about those child records. Underneath there, data against the child record will be included.
You can expand those areas on the Source Record to see what data you will need to transfer over.
On the left is an area for actions. This determines what and whether you would like to leave it or allow the data to be transferred from the Source Record to the Master Record by either selecting Add or No Action.
Once you are satisfied with your Actions selected -
Click Validate Duplicates. This attempts to validate those actions selected, and if there are any issues, Validation errors will appear below advising you what to amend against the records before you can validate them.
Once you are happy, click Merge Duplicates.
📌Note: You will receive errors if child Funding (FIS) exists on both child records. This will need to be manually amended within FIS.
