Archive an admissions preference status

In this article, we explain how to archive admission preference statuses.

You can use the archive status to hide preference statuses rather than delete them, so you retain the preference history. The archive status excludes from auto-allocation and doesn't upload via snapshotting.

Archive a preference status

To get started, follow these steps.

  1. Click Admin, then click Preferences.

  2. Click Preference Status, then select Archived.

  3. Select the Archived checkbox, to default the status category to Withdrawn, Refused or Declined.


View an archived preference

You can view an archived preference status in a child's record.

  1. Open the child's record, then click the Admissions tab.

  2. Click Main Details, then select the Show Archived Preferences checkbox.


Automatic archive

The auto-archiving of preference statuses controls if the offered preference status and basic information are copied forward when importing continuing interest and in-year applications from EDEM.

When you set your options, old preferences are set to Archived and no offer offer or waiting list details carry forward.

  1. Click System Manager, then click Options.

  2. Click EDEM, then click Import.

  3. Click Preference Statuses.

  4. Set the Preference Auto Archiving Status to the status you've defined for archiving.

  5. Select the Auto Archiving - Restore Offered Preference and Auto Archiving - Restore Waiting List Preferences checkboxes as you need.

Auto Archiving – Restore Offered Preference

Copies the offered school, where one exists, to the new preference records. If the offered school does not exist, the offered preference will be ranked at the next lowest rank.​

Auto Archiving – Restore Waiting List Preferences

Copies the key fields, such as the status, distance and wait list position to the new preference that's been imported.
