Admissions snapshot management

In this article, we explain how to create, delete and use snapshots.

Snapshots enable you to send your post-application information and offers to Synergy Web, including list updates, entrance test information and applicant-requested information changes from the Admissions client.

Create a snapshot

To create a new snapshot, follow these simple steps.

  1. From the Admissions client toolbar, click Batch Update Procedures.

  2. Select the round you're sending information from, then select the application type.

  3. Enter your from and to dates. This includes applications updated between these dates.

  4. If you require, use the Filter by Preference option. Use the Not checkbox to exclude criteria.

  5. If you require, use the Filter by Child option. This enables you to create a snapshot for an individual child.

  6. Click Search, then use the checkboxes to select the applications you want to include in the snapshot.

πŸ€“ Tip: You can use wildcards for a child's forename, middle name and surname.

Create snapshots for selected applications

  1. Enter a Friendly Name, limited to 120 characters, which you use to identify the snapshot. The Friendly Name doesn't display online.​

  2. Select the Round Phase that the snapshot relates to, for example, if you're sending offers, select Offer Phase.

  3. Click Create Snapshot.

The Snapshot History tab now displays, and the snapshotting task occurs. Click the Refresh button to view the progress of the task in the progress panel.

Once the snapshot task completes, meaning the information has sent to Synergy Web, the snapshot progress panel disappears and the snapshot batch is visible in the Filtered snapshot batches section.

You can filter snapshot batches by application reference, re-application, and response, or by child, using the expandable panels.



Delete a snapshot

You can delete snapshots or individual snapshots they haven't yet been responded to or a continuing interest application hasn't been created.

  1. Using the radio buttons, select the snapshot batches to delete.

  2. Click Delete Snapshot Batches or apply further filters to view individual snapshots for deletion.

  3. If required, you can further filter a snapshot batch to view view individual snapshots by application reference, re-application, response, or child.

  4. Use the Select individual snapshots to be deleted using the check boxes.

  5. Click Delete Snapshots.

Individual snapshots cannot be deleted if they have been responded to or a continuing interest application has been created.

When deleting snapshot batches with individual snapshots within the batch that meet the above criteria, they will be retained, all others will be deleted.
