End a Provider Record

In this article, we explain what to do if a Provider closes and you do not need to see them in lookups, and how to remove them.

As Providers and Schools once used are linked to records, you cannot delete them from the system. You can end date the Providers and Non-School records. You would retain a full audit of where they had previously been used, and they would not be selectable in any future records.

πŸ“Œ Note: If the provider has not been involved with any funding, you will be able to delete the record, but this is not advised. An archiving task is always preferred over deletion. Discuss archiving with your account manager.


Registration End Date: FIS

  1. Click Registration and select the other tab.

  2. The second field on the left, End Date (you must close all providers first).​


Provider End Date: FIS

  1. Click Registration, and then Provider.

  2. Click the Main Details Tab, halfway down on the left, next to Start Date - End Date.​


School End Date: IDEAR Client (or any module that loads a school)

  1. Click the School Details Tab.

  2. Right-hand side half way down: End Date.​

⚠️ Important: If you wish for an archiving task to tidy up historical data, please contact your account manager to discuss your requirements. Archiving tasks are specific to the Local Authority and not out of the box, so that your records are only archived if they meet your exact parameters.
